PurrView Pantry User’s Manual
A practical guide to PurrView Pantry—inventory for food, litter, treats, and kitten supplies, with days-left estimates, shopping lists, barcode multi-scan, physical counts, and optional lot / expiration tracking for recalls.
Beta testers only. This manual describes the private beta of PurrView Pantry. Features, screens, and wording can change without notice. 1. Welcome
Pantry helps small rescues answer: what do we have, how long will it last, what should we buy, and what did food and litter really cost (including in-kind donations)?
With Pantry you can:
- Track stock by location (rescue center, fosters, other sites)
- Log consumption, purchases, donations, transfers, and damage-outs
- Run physical counts (Adjust) and printable count sheets
- Optionally record lot numbers and expiration dates for recalls
- Record adult and kitten counts for “mouths to feed” (Pantry-owned totals—not individual cats)
- See days-left estimates, low-stock banners, and a simple shopping list
- Scan product barcodes (or type them) and maintain a product Catalog
- Run multi-item camera sessions when receiving, consuming, transferring, or cataloging many SKUs
- Invite volunteers on a team and export CSV for reports
2. Not the same as PurrView
PurrView is for named cats, colonies, visits, and TNR. Pantry is for inventory only.
- Pantry does not pull colony headcounts from PurrView.
- Cat numbers in Pantry are adults + kittens per location that you enter yourself.
- Use PurrView for individuals and field ops; use Pantry for bags, cans, and litter.

3. System requirements
Pantry is a progressive web app in the browser—no App Store install required.
- Phones and tablets are first-class (including older devices when the browser is still supported).
- Safari on iPhone/iPad recommended for camera barcode scanning.
- HTTPS is required for camera access (your production /pantry/ URL).
- Allow site data / storage for offline-friendly use.
- Leave free device storage—offline caches need room (same idea as PurrView: avoid a nearly full phone).
4. Getting access (beta)
Accounts are gated. You will not create an account without a code or invite.
New organization (rescue owner)
- Open /pantry/.
- Tap Need an account?
- Enter email, password, the registration code from Frontier Felines, and your organization name.
- Create account, then sign in.
If you received a link like /pantry/?code=…, the code may fill in automatically.
Volunteer on an existing rescue
- Your owner sends a Team invite link from Pantry → Team.
- Open the link and sign up or sign in with the same email the invite used.
5. Screen layout
Primary navigation (phone-friendly labels):

There is no separate Summary or Cats tab—stock banners live on Inventory → On-Hand; mouths-to-feed live under Team. Header also shows Sync / connection status. Use Sign out in the footer.
6. Inventory (On-Hand & Adjust)
Inventory is the main stock screen. At the top, pick a Location (or All locations), then switch between On-Hand and Adjust.
6a. On-Hand — feeding readiness
On-Hand is a capacity snapshot: category-level totals, days left, and mouths. It answers “can we feed / clean for how long?” Detailed product counts and physical counts live under Adjust.
Action buttons
- Purchase — multi-item receive session (camera opens; buy stock into a location). Requires a dollar amount (actual or estimated).
- Donation — in-kind value (estimated $ required); multi-item scan session like Purchase.
- Consume — used or emptied package (stock down; never below zero—app may say “check your count”). Multi-item session.
- Transfer — move stock already owned (e.g. center → foster). Product + optional lot; no cost change. Multi-item session.
- Damage Out — damaged, expired, or recalled stock (reasons: Damaged / Expired / Recalled). Multi-item session.
- Scanning Complete — appears while a multi-item camera session is active; ends the session.
Direct-to-foster buys: log Purchase with location = that foster.
Buy then distribute: Purchase at center, later Transfer to foster.
Units (can, bag, box…) should stay consistent for a given balance so math stays honest. Purchases require a cost of goods (cash or estimated value)—blank or $0 will not save. Donations also need an estimated in-kind value.
Banners & chips
- Low stock — locations/categories running short on days left.
- Expiring within 30 days — open lot lines with an exp date in that window (only if you entered dates).
- Cat count nudge — weekly-style reminder to update mouths under Team.
- Food / Litter donated (90d) — rolling donation-rate chips.
Stock cards & recent activity
- Stock on hand — category cards with quantity, days left (seeded or from use), and mouths at that location.
- Recent activity — purchases, donations, consume, damage out, transfers, adjustments. Filter: Today, 7 / 14 / 30 days (default 14).
6b. Adjust — physical counts & recall tools
Switch to Adjust for product-level lines, counts, seed, and lot search. There is no separate “By lot” list on On-Hand anymore—lot work lives here.
Action buttons
- Inventory Adjustments — shows (or refreshes) the line list for the selected location: System qty vs Physical count.
- Set / seed stock — set initial quantity and optional “seeded days left.” Can run as a multi-scan session. Use when starting a location or correcting a known total without a full count walk.
- Count sheet — opens a printable physical count sheet (product, brand/lot/exp/unit, system qty, blank “Counted” column). Enter counts back in Adjust after the walk-through.
- Find lot — recall search by lot # (partial OK), product text, and/or barcode. Results show location lines still holding remaining qty.
How to run a physical count
- Select the location (not “All”).
- Optional: print a Count sheet, walk the shelves, write counts.
- On Adjust, enter Physical counts on changed lines (search / sort by name, brand, expiration, or unit).
- Changed rows highlight. Tap Save adjustments — confirm; each change updates on-hand and is logged for reports.
If you see Unassigned stock (not a dropdown) banners (e.g. “Unassigned Food (no barcode)”), those are category piles without a named SKU. Allocate by setting each product’s Physical count, then set Unassigned Physical to 0 so Adjust totals match On-Hand.
Expired or soon-to-expire lines are highlighted like low stock.
7. Lots & expiration dates
Built for rescues and pantries that need recall readiness. Optional for everyone else— leave the fields blank and Pantry behaves like simple totals.
What goes where

How to enter a lot
- Start a Purchase, Donation, or Record Purchases (or Catalog Buy / receive).
- Fill product, location, quantity, and cost as usual.
- Optionally fill Lot # and/or Exp date (date field).
- Save. If either field is filled, Pantry creates or adds to a lot line and still updates the location total.
Same Friskies SKU received five times with five lots → one Catalog product, five lot lines, one on-hand category total.
If you leave lot/exp blank
- Stock total goes up as before.
- No lot line is created.
- Consume, Damage Out, and Transfer still work on totals (Transfer can require a catalog product for SKU-level moves).
Mixed stock is fine: e.g. 80 cans “unbatched” + 40 on lot B02 = 120 on hand.
Recalls — Find lot
- Inventory → Adjust → Find lot.
- Enter a lot # (partial OK), product text, and/or scan a barcode.
- See locations still holding remaining qty on matching open lots.
Also export Open lots under Export for a full CSV. For recalled product you found, use Damage Out with reason Recalled (or Transfer it out of the feeding location first if you are quarantine-moving stock).
Note (beta): Consume does not yet force you to pick a lot (FEFO / lot-pick on consume is planned later). Transfer can target a specific open lot. Lot lines stay accurate when you enter them on receive; use Find lot and Open lots export for recall response today.
8. Shopping
Suggestions are a target for roughly two weeks of use—not a cart you must finish in one trip.
- Record Purchases (header) starts a multi-item scan session like Inventory Purchase.
- List lines prefill location, category, unit, and suggested quantity; partial fills are fine.
- Enter cost (actual or estimated) each time—required to save.
- Optional lot/exp on each receive, same as Inventory Purchase.
- The list refreshes after on-hand changes.
9. Catalog & barcodes
Catalog is the phone book of products—not inventory qty and not lot/exp. First scan: name the product (brand/size/unit optional). Next scans autofill.
- Update Catalog — multi-item camera session; known products can auto-save; new ones ask for a name.
- Camera scan on HTTPS (Safari recommended on iOS). Thin UPCs may need zoom, Snap & decode, or typing the digits.
- USB/Bluetooth “wedge” scanners type into the barcode field—great at a desk.
- Buy / receive on a product card opens a purchase form prefilled with that SKU (optional lot/exp and cost apply here).
- Day-to-day receiving can stay on Inventory → On-Hand → Purchase; Catalog is the master list of UPCs.
Older devices (e.g. older iPads) can work well when the page is on real HTTPS.
10. Multi-item scan sessions
Built for unloading a carload, counting use, or cataloging a shelf without extra taps between items. Most Inventory actions open the camera and loop: save → next scan.

- On the camera screen: Snap & decode, Cancel this scan (back to the form), and Scanning Complete (end the whole session and close).
- Header Scanning Complete also ends an active session if the camera is closed.
- Catalog product-card Buy / receive opens a single purchase form (not a multi-scan loop unless you start from On-Hand Purchase).
11. Team, locations & cats
Locations & Fosters
- Rename, add locations, add named fosters when mode is Individual Fosters.
- All Fosters vs Individual Fosters — combined bucket vs separate foster sites.
- Remove foster — moves cats (counts) and on-hand stock to another location first; type REMOVE to confirm. You can end with zero fosters listed.
- Invite volunteer — owner only; seat limits apply.
Cats — mouths to feed
Lives under Team (not a separate tab). Per location: adults and kittens (each individual counts as one mouth). Use Update counts—the form starts from the current numbers so you don’t zero things by accident. History supports exports; the latest count for a day is what reports use.
These totals are Pantry-owned only—never imported from PurrView. They feed days-left, shopping suggestions, and reports.
12. Export
CSV downloads (and one printable sheet) for grants, 990s, donors, counts, and recalls:
- Stock balances — location, category, qty, days left
- Purchases & donations — cost history (includes product/barcode/lot when present)
- Open lots — current lot lines (product, location, lot #, exp, qty remaining)
- Losses & gains — inventory adjustment history (system vs physical, delta)
- Count sheet (print) — same printable walk-through sheet as Inventory → Adjust
- Cat count history — last count per location per day is authoritative
13. Admin (ops only)
The Admin tab appears only for Frontier Felines platform administrators (configured on the server). Use it to issue beta registration codes, copy signup links, grant Pantry to an organization, and review recent codes. Ordinary rescue users will not see Admin.
14. Field tips
- Log stock when you put it away—not three days later.
- Update mouths when the population changes; weekly is enough for most sites.
- Prefer one unit system per category at a location.
- Use On-Hand for “how long can we feed?” and Adjust for “what’s on this shelf?”
- Scan once, name carefully—the next person inherits your Catalog label.
- Only enter Lot # / Exp when you care about recalls—blank is fine for small house rescues.
- For multi-item unload trips, use Purchase or Record Purchases and finish with Scanning Complete on the camera.
- Print a Count sheet before a full inventory walk; Save adjustments only after Physical counts are entered.
15. Troubleshooting

| Thin barcode won’t scan | Zoom so bars look thicker; try Snap & decode; type digits under the bars (then name once). |
| Camera opened when I only wanted the form | Most Inventory actions start multi-scan by design. Use Scanning Complete or Cancel this scan. Catalog Buy / receive stays form-first. |
| Can’t save a purchase | Enter cost of goods (actual or estimated)—$0 / blank is blocked. Donations need an estimated value too. |
| Can’t find “By lot” on On-Hand | Lot search moved to Inventory → Adjust → Find lot. Product/lot lines also appear on Adjust. |
| Lot not showing after receive | Lot # or Exp must be filled on receive; Catalog alone never creates lots. Confirm product + location under Adjust. |
